Is it true that the only way to print the phonebook
is via categories?
How would you do a basic a-z listing?

Dear Rebecca:
You can print a "basic a-z listing" by selecting the All Records option and not
selecting any Categories. This selection is made in the
File/Print/Books,cards,labels… dialog box.

Thanks for the info.
I tried this and all of the records had the extended information that you
get when you double click. I'll go back and experiment with it and
see how well I can fine tune my printed phonebook. The program
seems so flexible that it would allow me to create something quite

Following are some instructions for customizing and creating your own Address
Book print formats:
How can I set up a custom print format or edit an existing one?
A: Use the File/Print Setup command.
1. Select File/Print setup/Books, cards, labels 2. If a Format file has
not been selected (a file where all the printer formats are stored), an Open
Format File window will open automatically. Choose the file that most closely
corresponds to your printer type (i.e., if you are printing on an HP LaserJet
III printer, open HPLJET3.FMT), and click OK to open this file. 3. To add
a new format, click the Add button at the bottom of the window. Type a new
name of your new format and click Add.
4. Choose the printer that this format will be printing to by clicking the
Printer button at the bottom of the screen. Highlight the printer you wish
this format to print to from the list of choices. Click OK. NOTE: It is very
important that each format be assigned to a printer, otherwise you will get an
error message when you try to print. 5. To design your format, assign values
for the Page Margins, Layout, Space and Options choices. All of these are
explained in detail in your User's Guide.
6. Click the Template button to open the Template design window. 7.
Place the Merge fields you wish to print in the template section. Remember to
use Ctrl-Enter to start a new line and a tilde character (~) to right justify a
field. 8. Select a Sort Field. 9. Design the header and footer and make
sure to check the Print and Line options if you wish them to print. 10. Click
OK when the template is complete. 11. Click OK again to save your format.
7 The process of designing formats is one of trial and error. Do not be
discouraged if your records do not print exactly as you expected. Just go back
to your template, make some adjustments, and try printing it again.
